Vertex Grounds Management Inc. ("Vertex," "we," "us") respects your privacy. This policy explains what information we collect when you visit vertexgrounds.ca or request a service, why we collect it, and how we handle it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).

What we collect

We only collect information you choose to give us. That includes:

• Quote requests: name, company (if any), email address, phone number, property address, sector, service requested, and any details you provide about the work needed.
• Direct contact: if you call, email, or text us, we keep that correspondence so we can respond and follow up.
• Website analytics (if enabled): aggregate, anonymous data about how visitors use the site — pages viewed, browser type, general location at the city level. We don't use this to identify you personally.

What we do with it

• Reply to your quote request and provide the service you asked about
• Schedule and dispatch crews, document completed work, and invoice for services rendered
• Communicate with you about your account, contract renewals, and service updates
• Improve our website and service offering

We do not sell, rent, or trade your personal information. We do not use it for unrelated marketing.

Who else sees it

We share information only with parties that help us deliver the service you requested:

• FormSubmit.co — processes our online quote form and forwards submissions to our email. They do not retain or repurpose your data beyond delivery.
• Crew leads and dispatchers — receive your address and service details to do the work.
• Accounting and payment providers — see name, contact, and invoice information for billing.
• Legal or regulatory authorities — only if required by Canadian law (e.g., a valid court order).

Cookies and tracking

This website uses minimal technical cookies needed for the page to function. All fonts are self-hosted, so no font-related requests leave this site. The embedded Open-Meteo weather API may log your IP address as part of standard request handling. We do not currently run third-party advertising trackers. If we add analytics in the future (e.g., Google Analytics or a privacy-friendly alternative), this policy will be updated.

How long we keep it

We keep quote requests and customer records for as long as needed to provide the service and meet legal obligations (typically 7 years for tax and contract records under Alberta law). Inactive prospect records are reviewed and deleted periodically. Active client records are retained for the duration of the relationship plus the legal retention period.

How it's protected

Your information is stored in industry-standard, password-protected systems with encryption in transit (HTTPS) and at rest. Access is limited to staff who need it for their work. We don't maintain a server database of personal information on this website itself — quote submissions go directly to our email and any internal CRM we use for client management.

Your rights

Under PIPEDA and Alberta PIPA you have the right to:

• Ask what information we hold about you
• Request a copy of that information
• Request corrections if anything is inaccurate
• Request deletion of your information (subject to legal retention requirements)
• Withdraw consent for non-essential communications at any time

To exercise any of these rights, email info@vertexgrounds.ca with the subject line "Privacy request." We'll respond within 30 days.

Children

This site is intended for property owners and managers. We don't knowingly collect personal information from anyone under 18. If you believe a child has submitted information through our site, contact us and we'll delete it.

Updates to this policy

We'll update this policy if our practices change. Significant changes will be reflected in the "Last updated" date at the top of the page. Continued use of the site after changes means you accept the revised policy.
